Notification of Graduate Student Evaluations
A new query has been developed that shows all graduate assistant evaluations not in compliance with Article 3 of the Collective Bargaining Agreement. The query results will be periodically distributed by Academic Affairs to the colleges to be forwarded to respective departments for compliance action. UF Enterprise Systems is developing a report within Enterprise Reporting, so departments ultimately will be able to access this report directly. A notice will be sent out for navigation as soon as it is completed.
Each department/unit contact should notify the graduate supervisor that the graduate assistant evaluation needs to be completed and the letter of appointment updated. A copy of the dated graduate student evaluation must be sent to the department's personnel office to be included in the student's file in compliance with Article 4 of the Collective Bargaining Agreement.
As the department/unit contact is notified of the evaluation dates, s/he should enter the date of each completion in the letter of appointment file. If an evaluation cannot be completed because of an acceptable situation, a "non-evaluation code" should be entered rather than a date.
Non-evaluation codes are:
- M - Medical Withdrawal
- W - Withdrawal
- D - Deceased
These fields will appear in the student's letter of appointment record under the supervisor's name and student's UFID.
If the evaluations are not completed by the end of the letter of appointment end date, the department/unit contact will send an e-mail during the first week of the next semester to the affected supervisor. It will remind the graduate supervisor of the need to complete an evaluation in compliance with Article 3 of the Collective Bargaining Agreement.
There will be no need to return any listings to Academic Personnel, as it will use the letter of appointment file as its information source.
