State of Florida minimum wage to increase

On June 1, the minimum hourly wage for the state of Florida will increase from $7.25 to $7.31 per hour. While the Federal minimum wage remains unchanged at $7.25, all University of Florida OPS employees must be paid at least $7.31 per hour to comply with the state’s minimum wage.

All pay increases due to the new state minimum wage will be processed by Human Resource Services effective June 1, 2011. The pay increase will be reflected on the June 17 paycheck, and can be viewed by affected employees in myUFL by navigating to My Self Service > Payroll and Compensation > View Paycheck.

Effective July 1, 2010, the University of Florida’s minimum hourly wage for TEAMS and USPS employees is $9.75 per hour.

The myUFL Financial Systems Upgrade was successfully launched on May 10. Those requiring new security roles for the system must complete their training by the end of May in order to maintain access. For more information, please visit the Training section of the Upgrade web site.

Queries in need of migration will continue to be accepted through the end of May as well. If you find you are in need of a query from the former system that has not migrated to the new one, please submit your request to askgrady@ufl.edu by the end of May.

A new My Personalizations Tutorial is now available online. By using the My Personalizations tool, you can customize various aspects of your experience in myUFL. In this tutorial, you’ll learn to adjust how to use the Tab key on your keyboard to navigate through the screen, set the maximum number of rows to view when you click a View All link, and activate or deactivate the Type Ahead feature.

Know someone who’s still struggling to understand the new system? Please encourage him or her to view the Look and Feel Tutorial, also available online. A final iPod drawing was held on May 6. Congratulations to the last group of lucky winners!

Preventing Sexual Harassment online training required of employees new and old

As a reminder, all new employees (faculty, staff, and OPS) are expected to complete the “First Time User” version of the “Preventing Sexual Harassment” tutorial within the first 30 days of employment. Thereafter, all employees are expected to review and complete the “Refresher” version of  the “Preventing Sexual Harassment” tutorial every two years.

To access these tutorials, please login to myUFL and navigate to: My Self Service > Training and Development > Training and Development Home > Online Learning Heading – click  the “Preventing Sexual Harassment” link, and select First Time User or Refresher.

Departmental administrations can run compliance reports on individual or the entire area accessing the Sexual Harassment Training Query Access: MyUFL > Enterprise Reporting > Access Reporting > Special Newsboxes > 62000000 – Division of Human Resources > T&OD Data > Sexual Harassment Report > Access report by UFID or select college or department.

Fiscal year-end resources now available

The 2010-2011 fiscal year ends on June 30, 2011. The scheduled date for closing the General Ledger for the 2011 fiscal year is Friday, July 15, 2011.

Year-end closing requires the coordinated efforts of Finance and Accounting and campus departments to ensure that all financial activity is accurately recorded. All departments should review and reconcile their ledgers—verifying that all requisitions, invoices, travel expenses, and payroll transactions pertaining to the 2011 fiscal year have been recorded accurately and all corrections have been posted.

Prior to closing, departments should also ensure the accuracy of any outstanding encumbrances (purchase orders and travel authorizations) for the year so budget balances for state funds can be accurately carried forward.

During the month of June, please use the prompted financial reports. If transactions have not appeared or are incorrect, please take the necessary action by the posted deadline to ensure they are posted correctly in the ledger.

Action to be taken may include expense transfers, payroll corrections, deposit corrections, journal entries, or a phone call to the appropriate contact person. (Click on the appropriate link below.)

The objective of the year-end closing is to create an accurate record of financial activity for the entire fiscal year. The following resources are provided to assist in planning for year- end closing:

At the year-end workshop, staff from Asset Management, the Budget Office, General Accounting, Payroll, Purchasing & Disbursements, and Treasury Management will discuss year-end critical dates and tasks, and will be available to answer any questions. If you are interested in attending the workshop in person or via Polycom (video conference), please e-mail Kimberly Cruce. An IP address and room number must be provided for participation via Polycom. The meeting will also be streamed live online.

SHCC available to GatorGradCare-covered students not taking summer courses

health centerGraduate students who are not registered for courses during the summer and are confirmed eligible for annual or spring/summer coverage for the 2010-2011 academic year under GatorGradCare may still use the Student Health Care Center during the summer months. Graduate students falling into this category have the following options. Please note that these options do not apply to students who are registered for summer classes and are covered by GatorGradCare.

1. The graduate student confirmed eligible for annual or spring/summer GatorGradCare coverage for the 2010-2011 academic year may pay the summer health fee, which covers office visits and use of the Student Health Care Center Pharmacy. The health fee costs for the summer, paid directly to the Student Health Care Center, are as follows:

Summer A:  $76
Summer B:  $76
Summer C:  $150 (Entire Summer)       
    
The graduate student’s office visits (including office visits to psychiatrists) would be covered by this Health Fee. Once the health fee is paid, the Student Health Care Center benefits under GatorGradCare would be in place. A description of these benefits can be found on page 3 of the GatorGradCare brochure or by calling UnitedHealthcare Student Resources at 1 (800) 996-4698.

If a GatorGradCare graduate student has purchased coverage for a spouse or domestic partner, both the graduate student and the spouse would have to pay the health fee in order for the spouse or domestic partner to be seen at the Student Health Care Center.

2. Student Health Care Center Provider Services: The graduate student confirmed eligible for annual or spring/summer coverage for the 2010-2011 academic year may be seen at the Student Health Care Center without paying the summer health fee. The Student Health Care Center benefits under GatorGradCare would be in place. A description of these benefits can be found on page 3 of the GatorGradCare brochure or by calling UnitedHealthcare StudentResources at 1 (800) 996-4698.  An additional $60 fee will be added to the graduate student’s total bill. This will make the student’s 20% coinsurance amount slightly higher. 

Example: If a student’s total bill was regularly $100, the student would pay 20%, which equals $20. However, an additional $60 will be added to the total bill per visit. So, the total is now $160.  The student will pay 20% of $160, which equals $32. This is not an option for spouses or domestic partners covered under GatorGradCare.

Student Health Care Center Pharmacy Services: 
The graduate student confirmed eligible for annual or spring/summer coverage may also use the Student Health Care Center Pharmacy without paying the summer health fee. An additional $10 fee will be charged to the insurance company for the cost of the prescription. The student will still pay the appropriate copay under the GatorGradCare policy for the prescription. This is not an option for spouses or domestic partners covered by GatorGradCare.

International travel plans?

In an effort to strengthen the ability of the university to ensure the safety of faculty, staff, and students participating in official university international travel, a new and much simplified MEDEX Insurance registration procedure will be implemented. Faculty and staff traveling on officially-sanctioned UF business outside the United States are required to register their travel via the UF International Center web site. For more information, please see the DDD memorandum outlining the new procedures.

Haiti travel policy revised

In light of improving conditions on the ground in Haiti since the devastating January 2010 earthquake and a compelling interest for the University of Florida to be more prominently present in Haiti for educational, research, and outreach activities, the University of Florida has amended its current policy with regard to travel and work there.  For more information please see the DDD memorandum.
