effortTraining and support available to assist with transition to new Effort Reporting system

Starting this month, effort for the Summer 2011 academic semester will be certified using a new Effort Reporting system designed to improve the university’s business processes while saving paper and faculty time.

An online information session, RSH200 Effort Reporting, is now available. This session provides a comprehensive overview of effort reporting and its related business processes as well as custom presentations specific to the needs of faculty, principal investigators, and effort coordinators.

To register for this session, log in to myUFL and navigate to
My Self Service > Training and Development > Request Training Enrollment, and search for course number RSH200.

Please keep in mind the following important deadlines:

  • November 23: All entries by Effort Coordinators complete
  • December 9: All certifications complete

In addition, Effort Certification Open Lab sessions are scheduled each Tuesday. These sessions are a great opportunity to receive assistance with your certification reports and get answers to any questions you might have. No enrollment is required for these sessions:

  • October 25, 1 to 3 p.m., HRS Building, Room 119
  • November 1, 9 to 11 a.m., HRS Building, Room 119
  • November 8, 9 to 11 a.m., Enterprise Systems,
    Dodge Island Bridge

GatorJobs upgrade coming in December

UF's GatorJobs hiring system will undergo an upgrade in mid-December of this year in an effort to improve some current features and add new features for both applicants and hiring departments. Some such features will include user-friendly interfaces, the ability to create ad-hoc reports, and more flexibility for hiring departments to customize their requisitions for their recruitment needs. 

To prepare for the upgrade, departments are being asked to close out any inactive requisitions now and ensure each applicant and requisition is assigned the appropriate status. This information is critical for reporting purposes, including federal EEOC reports. 

As a result of the upgrade, no data in the current version of GatorJobs will be migrated to the new system. All applicants will need to create new accounts in the new system, and any departments with postings that are still active (i.e., receiving applications) by the time of the upgrade will need to manually create and post the requisition in the new system in order for applicants to apply to the posting.

Please note that hiring departments will still have access to the current system after the new system is implemented for approximately two months in order to complete the interviewing and the selection process.

Nominations for Superior Accomplishment Awards due October 31
superior accomplishment awardsThe deadline for the 2012 Superior Accomplishment Awards is October 31, 2011. This year, two awards have been added to the Superior Accomplishment Awards program: Diversity & Inclusion in the Workplace and Community Service.  As with the other annual awards, one winner from each division will receive $200 along with a certificate of appreciation and a University memento.  Each division winner then is eligible to be selected for one university-level award of $2,000.

December Leave Cash-out Period is November 11-24

holidayTEAMS employees are eligible to cash out up to 16 hours of vacation leave—regardless of FTE—during the pay period of November 11 to 24, provided 40 hours of vacation leave remain on balance after the end of that pay period.  If eligible, participating employees will receive the cash-out payment in their December 2 paycheck.

To participate, employees should report the number of hours they wish to cash out by entering them in the Weekly Elapsed screen in the myUFL system. Due to the Thanksgiving holidays, hours must be reported between November 11 and 22 using the “DLC – 280 December Vacation Leave” time reporting code on a day when the employee is not scheduled to work to prevent blocking in the myUFL system due to the “exceeds 24 hours” exception. Please note:

  • The pay period specified is the only pay period the DLC time reporting code can be used.

  • Employees should enter the time reporting code in Weekly Elapsed screen by November 22; however, they should verify with their departments if an earlier deadline has been established internally. 

Each department is responsible to ensure that no more than 16 hours of an employee’s vacation leave are cashed out and that 40 hours of vacation leave remain on balance after the end of the November 11-24 pay period.

myUFL HR/Payroll Upgrade slated for Summer 2012

gradyWork has begun on the upgrade of myUFL’s Human Resource and Payroll systems.  Over the coming months, several teams of university employees will be working to ensure the HR/Payroll systems meet UF’s business demands—both now and in the future. The project, approved by senior academic and administrative leadership, is currently scheduled for completion the summer of 2012.

As is the case with all software, regular upgrades of the myUFL system are required to stay current and meet the university’s business demands.  A follow-up to the recently completed myUFL Financial Systems Upgrade, this upgrade is designed to ensure our online business processes remain current and compliant as they support human resources and payroll-related needs.

Regular upgrades not only ensure the university stays in step with the most current capabilities of its technology, but also can provide cost-savings to the university.  Although we recognize these changes require an investment of additional time and energy from employees in order to become familiar with the new systems, over time the return on such investments make them worthwhile.

The upgrade’s project team is committed to keeping campus well informed about this project and its impact. Regular communication updates are planned for the coming months, and training opportunities will be available in advance of the upgrade’s implementation. Request printed UF directories by October 24

All departments that would like to reserve printed copies or CDs of the 2011-12 UF Campus Directory should make their requests online by October 24.

Departments have been asked to please keep in mind that much of this information is available online and to only request the number of printed directories or CDs that their departments will use. Even with various sources of online access to this information, this directory remains a valuable resource for many on campus.
