New Employees
8 Things New Employees Should Do
Welcome to UF! For a successful introduction to UF, we recommend new employees should:
1. Attend New Employee Orientation for information about UF and benefits
(This is a TEAMS expectation; faculty attend a new Faculty Orientation offered throught the Provost’s Office). OPS employees may refer to the OPS Employment web page for details about their appointments.
2. Review the online narrated Benefits Tutorial (download this PDF to follow along with presentation) and print the Benefits Worksheet to help you with benefits-related decisions. If you need help navigating the state's People First benefits enrollment site, please refer to this tutorial.
3. Enroll in benefits by attending a Benefits Enrollment for Faculty and Staff session, or enroll online at People First.
4. Enroll in retirement options. Review the online narrated Retirement Tutorial (download a PDF of the slides to follow along with). View the Retirement section of HRS’ web site for more information, or contact University Benefits and Retirement at 392-2477 or retirement@ufl.edu.
5. Complete Sexual Harassment Compliance Training
Completion of sexual harassment training is a compliance expectation of employment at the University of Florida. Human Resource Services provides an online training program, Preventing Sexual Harassment. After reviewing the program content and completing the exercises, employees must pass a Mastery Test at the end of the program to attain training compliance certification. Employees should schedule a minimum of one hour to complete the course and have access to myUFL.
6. Participate in a campus tour led by the Florida Cicerones.
Join us for a 90-minute walking tour of campus for new staff and faculty providing useful information about the history and culture of UF as well as finding your way around campus. Florida Cicerones are student volunteers who serve as the Official Student Ambassadors to UF. The cicerones serve in a number of functions creating the link between past, present, and future Gators.

7. Attend UF 101: What Every Employee Should Know About the University of Florida (Course number PRO301)
This workshop is designed to increase institutional awareness so employees at the University of Florida may be more effective in their jobs—and eventually serve as resources for others—as they navigate the complexities of our large university. View the course schedule now.
8. Attend myUFL Basics (Course number PST121)
This hands-on session will provide participants with the basic skills necessary to navigate and personalize myUFL. Topics will include signing in, menu navigation, myUFL security roles, group boxes, adding and deleting rows, searching, and much more. View the course schedule now.

To self-register, sign-on to myUFL by clicking above and navigate to My Self Service > Training & Development> Request Training Enrollment. Search by Course Number. Then enter the appropriate course number listed below and select “Search”> Select “View available Sessions” > Select a session from the list available.
To register employees via Manager Self Service, you must have the security role of UF_EL_manager. Please work with your department security administrator to request this role via the Access Request System.

Physical Plant Division
These sessions are presented to PPD employees only the first Wednesday of every month. To discuss orientation options and make arrangements for new employees to attend, call the Physical Plant Division’s HRS Satellite Office at 392-2333.

New Employee Orientation for employees not employed by the Health Science Center or PPD is held in the HRS Building, Room 120. Click here for directions.
The Health Science Center New Employee Orientation is located in the HPNP building on Center Drive, north of the Health Science Center. Orientation usually takes place in one of the classrooms on the first floor. Locator maps are placed inside the HPNP directing you to the classroom. Click here for directions.

Benefits
Benefits Enrollment for Faculty and Staff Schedule
Employees must sign up for benefits during the first 60 calendar days of employment. Health insurance will take effect no sooner than the first day of the month following payment and submission of appropriate paperwork. You may enroll for benefits by attending a Benefits Enrollment session, or you may enroll yourself in the state-sponsored plans online by visiting https://peoplefirst.myflorida.com. Before attending a Benefits Enrollment session, we recommend you view the online narrated benefits tutorial. If you begin your employment near the end of the month and you want coverage effective the first of the following month, please call University Benefits at 392-2HRS (2477).

Sick Leave Pool Enrollment
The university's Sick Leave Pool is a way for employees to combine a portion of their individually accrued sick leave for collective use.
To be eligible to participate in the Sick Leave Pool, you must be appointed to a sick leave-accruing position such as TEAMS, USPS, or Academic Personnel line; have completed one year of employment with the University of Florida; and have a minimum of 64 hours of sick leave on balance if you are full-time. Full-time employees whose applications are accepted will contribute eight hours of sick leave automatically to the Sick Leave Pool. All figures associated with the sick leave pool are figured on a prorated basis for part-time employees.
Faculty transfers have 31 days from their hire date to join the Sick Leave Pool.

Getting Started at UF
Getting hired at UF is only the first step of employment, and many details will make the transition to your new job an easier one. Your supervisor may complete some of the steps below for you.
- After accepting the offer, agree on a start date with your supervisor.
- Pick up a map at the Reitz Union to familiarize yourself with campus, or view UF maps online.
- Sign up for New Employee Orientation (TEAMS only).
- Review the benefits information online, such as the UF Benefits Tutorial and enrollment worksheet, then register for a Benefits Enrollment session within the first 60 days of employment.
- Request a Gatorlink e-mail address.
- Get a Gator 1 card.
- Familiarize yourself with parking and transportation options available to and around campus by visiting http://www.parking.ufl.edu/default.htm. In some situations you may be required to purchase a parking decal.
What to bring on your first day of employment
- Driver's license or other form of government-issed ID (state ID card, passport)
- Social Security card
- Blank voided check to enroll in direct deposit
- W-4
- I-9, Employment Eligibility Verification
- Direct Deposit
- Disclosure of Outside Activities Report (OAA-GA-L-267)

About the Gator 1 card
The Gator 1 Card is the official University of Florida ID card for all faculty, staff, and students. It also provides access to many activities on campus, such as campus libraries, gated parking lots, free RTS bus service, ID/security badge at the Health Science Center and Shands Hospital, and more.
How to get your Gator 1 card
Ask your work unit’s administrative support to complete the ID Card Authorization. Completed forms must have an account number or ‘E&G’ checked (not both), or the form must indicate “Employee will pay.” Bring the completed form and a picture ID to the ID Card office to receive your Gator 1 ID card.

The InfoGator
The InfoGator, an electronic newsletter from Human Resource Services, is a monthly publication with news about your employment at UF, including insurance updates, professional development opportunities, vacation and pay reminders, and much more. All TEAMS, USPS, and Academic Personnel are automatically subscribed to the InfoGator because it is the primary source of employer-employee communication. If you do not receive the InfoGator within the first three months of your employment, please e-mail human-resources@ufl.edu. An archive of past InfoGator issues can be found online on the HRS web site.
