Many of the university’s compliance efforts have a required training component. Categories of compliance training include training for IT employees with access to sensitive data, employee training related to regulations of the Environmental Protection Agency, Social Security number and identity theft training, as well as other research compliance training. Various UF departments and training providers are responsible for conducting compliance training based on their areas of responsibility.

In order to ensure the Department of Animal Sciences is in compliance with federal, state, and university regulations, this annual training is required of all employees within the department’s agricultural units and any others deemed necessary. The video materials within this course are provided by the Environmental Protection Agency as a general right-to-know and training module for those handling restricted-use pesticides. As a public agency, the University of Florida and its employees are required to document the disposal of public records as stipulated by Florida’s Public Records Law (Chapter 119), Public Records Scheduling and Disposition (Chapter 1B-24, F.A.C.), and related University policies, procedures, and guidelines. This introductory training describes the records management life cycle, introduces guidelines for the destruction or preservation of University records, and discusses relevant policies, procedures, and legislation related to public records.

All UF employees are required to take this training (Compliance and Ethics: Doing Your Part for the Gator Good) upon hire and every two years. An updated version was implemented in October 2020. This training module is required for all members of the workforce* in UF’s medical components and their affiliated entities, whether they have access to health information or not. It presents very basic information about federal (HIPAA) and state information privacy and security regulations.
*The workforce includes faculty, resident/fellows, staff, students, volunteers and third parties under the direct control of UF, both temporary and permanent, whether paid or not.
To conduct human subject research at UF or to use the Institutional Review Board (IRB) as a Privacy Board for research review, all principal investigators, co-principals, sub-investigators, research coordinators and staff with access to research-related health information must complete this training module before research documents are submitted.

The U.S. Department of Education requires that institutions receiving federal funds provide FERPA training and other resources to their employees. This course will provide a basic understanding of FERPA and how it applies to students at UF and its components. After completing this course, employees will have a basic knowledge of the rights students are afforded by FERPA, and of the obligations imposed by FERPA on UF employees to protect student information.
All UF employees (faculty & staff ) are required to complete PRV802: FERPA Training before security roles for Education Records are granted and biennially (every 2 years) thereafter.
NOTE: In an effort to reduce administrative burden, PRV803: FERPA for Faculty was retired effective August 1,2024. All UF employees will now take PRV802 instead. Current employees who have already taken PRV803 and PRV802 trainings are NOT required to retake FERPA training until their two-year renewal date is approaching.

UF actively limits and protects the personally identifiable information, which includes SSNs, cardholder data, consumer reports and similar financial data. The federal Red Flags Rule requires certain entities to implement an Identity Theft Prevention Program which includes training individuals about how to identify, detect and respond to a “red flag” or indication of potential identity theft. Lastly, Florida Public Records Law limits state agencies’ use or collection of SSNs for purposes authorized or mandated by law or pursuant to a business imperative. This module provides Identity Theft Prevention training and acceptable use and collection of SSNs. This course must be retaken on an annual basis.
